Transition to a Cashless Clubhouse from 1st May
Cashless
Dear Member,

Following careful consideration, and in line with our ongoing commitment to modernising the club and strengthening its long-term sustainability, the Board of Directors has approved a move to a fully cashless operation across all club services from 1st May.

This approach reflects best practice among leading golf clubs, many of whom have already adopted cashless systems to improve efficiency, security, and overall member experience.

Why are we making this change?

Currently, the club processes in excess of £65,000 in cash annually. Managing this volume creates a significant administrative burden, incurs banking costs, and introduces avoidable operational challenges.

More importantly, the handling and transportation of cash presents a real and increasing security risk to our staff. Removing cash from our day-to-day operations eliminates the need for staff to carry or bank cash, which is no longer considered appropriate in a modern club environment.

This decision is part of a wider, planned move to improve efficiency through digital systems and simplify how members interact with the club.

What are the benefits?

- Improved service and efficiency
- Greater financial accuracy and transparency
- Stronger security for staff and the club
- Lower operating costs
- Alignment with our long-term vision

What does this mean in practice?

From 1st May, all payments within the club—including bar, catering, professional shop (Green Fees only), and other services—will be made via:

- Debit or credit card
- Contactless payments (Apple Pay / Google Pay)
- Club accounts where applicable

Cash payments will no longer be accepted for day-to-day transactions.

Supporting You Through the Transition

We recognise this represents a change for some members. Staff will be on hand to assist anyone who needs support in setting up or using alternative payment methods.

Additional Information

- Staff tips following functions may still be given in cash if members wish.

Looking Ahead

This move is an important step in positioning Vicars Cross as a modern, efficient, and well-managed club, while continuing to deliver the standards and value that members expect.

Yours sincerely,

The Board of Directors
